The global law firm of K&L Gates LLP is seeking an IT Project Coordinator to join the Pittsburgh office. The Project Coordinator will assist the Manager, Enterprise Project Intake and Governance in managing the IT Project Portfolio. The Project Coordinator will be responsible for producing the weekly status updates and ensuring established project timelines are up-to-date and relevant to the current state and original baseline. The Project Coordinator will monitor project reports and will communicate risks and issues raised by individual projects to the Manager, Enterprise Project Intake and Governance.The Project Coordinator will help the Manager, Enterprise Project Intake and Governance, Project Management Office, Area Managers, and Sponsors define the constraints and dependencies between all active projects. The Project Coordinator will monitor time entry information and will produce related reports for the Manager, Enterprise Project Intake and Governance, IT Directors and Managers to review. The Project Coordinator will assist the Manager, Enterprise Project Intake and Governance with the development and daily execution of the Intake and Governance process. These efforts will include the coordination of discovery efforts on new requests and communicating with project stakeholders and team members.

The Project Coordinator may be assigned small, less complex projects/initiatives/maintenance items to run in a project manager capacity. Candidates must be self-starters who possess the ability to work independently and as part of a team. Excellent communication skills and a commitment to providing the highest quality client service are strongly preferred.

KEY RELATIONSHIPS
The Project Coordinator reports to the Manager, Enterprise Project Intake and Governance and will interact with Project Managers, PMO Manager, IT Managers, IT Team Leads/Supervisors, project team members, the Project Governance Board, IT Leadership and CIO. As part of the project intake process the Project Coordinator will interact with the project sponsors.

ESSENTIAL DUTIES
• Manage the collection and coordination of active project status updates, schedules, budgets, issues, risks, and monitor for integrity and completeness.
• Maintain and deliver the Project Portfolio reports.
• Provide real-time status updates on active projects and project requests.
• Create, maintain, and coordinate various dynamic reports for projects, project resources and governance board.
• Manage communication channels between service requesters, resource managers, and other resources identified within the intake and governance processes.
• Advertise, support, and enforce identified intake and governance processes and sub-processes.
• Create, update, and maintain documentation and Standard Operating Procedures (SOP) related to project intake, governance and management of the project portfolio.
• Coordinate and maintain new requests and project backlog.
• Fulfill various coordination rolls within intake and discovery processes.
• Communicate identified risks and issues to management prior to reaching critical status.
• Assist with the administrative preparation for various meetings.

ADDITIONAL DUTIES
• Manage the successful and timely delivery of smaller initiatives.
• Participate in project discovery and governance meetings and propose improvements, if necessary.
• Manage project-related files by ensuring all necessary materials are current, properly filed and stored.
• Direct project correspondences by preparing and reviewing project scope, timeline, meeting minutes and emails.
• Assist in the maintenance of department templates, records and resources, including team intranet and project team sites.
• Provide additional administrative project support, as required.

EXPERIENCE & SKILLS REQUIRED
• Bachelor’s Degree or equivalent work experience required.

ADDITIONAL ABILITIES REQUIRED
• Computer skills using Microsoft Office and ability to learn a variety of tracking, project, and portfolio management software
• Experience with reporting tools or software is a plus
