We are seeking a Senior Legal Project Clerk to join the Seattle office. The Senior Legal Project clerk plays a key role in supporting day-to-day operations, ensuring efficient matter tracking, billing workflow and communication coordination. This individual will work closely with partners and Legal Project Managers on administrative and project-related tasks that require attention to detail, discretion and excellent communication skills. The ideal candidate is highly organized, collaborative, and proactive with a strong understanding of billing best practices and legal administrative support.
Key Responsibilities include
- Serve as a liaison between attorneys and other internal departments to ensure clear, timely communication on operational and billing matters.
- Draft, proofread, and distribute email communications related to matter updates, billing workflows, and project status.
- Take detailed notes during meetings and client calls an distribute actions items as needed.
- Manage the intake of legal matters, including capturing requests, initiating matter openings, and submitting conflict checks.
- Track key dates and milestones as matters progress through internal workflows and phase gates.
- Ensure data accuracy and completeness across matter management tools and spreadsheets.
- Assist in routing and reviewing prebills, ensuring accuracy and adherence to outside counsel guidelines.
- Monitor compliance with client-specific billing requirements and flag inconsistencies or issues.
- Provide clerical support including document formatting, meeting scheduling and calendar coordination.
- Create and maintain well-organized tracking spreadsheets, reports and internal logs using Excel or Smartsheet.
- Assist with other administrative tasks and special projects as assigned.
Experience or skills required
- College degree preferred
- Minimum of 2-4 years of experience in a legal, administrative or legal operations support role
- Proven ability to interface effectively with attorneys, including senior-level partners
- Strong knowledge of Microsoft Word and Excel; experience with Smartsheet and Legal Tracker a plus
- High level of attention to detail
- Excellent organization skills with the ability to manage multiple tasks and priorities simultaneous
- Ability to handle confidential information with discretion and professionalism
- Strong written and verbal communication skills; ability to write clearly and professionally in emails and internal communications
- Comfortable working independently and within a team environment in a fast-paced setting
Compensation Salary $55,000 - $83,000
The compensation salary for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors.
