We are seeking a qualified candidate to join our Office Services team in the Seattle office. The candidate will be primarily responsible for handling in-house copy/printing/binding/scanning projects using high-volume production printing and finishing/bindery equipment as well as maintaining satellite copy centers throughout the office. This position may also assist with a variety of office services functions including incoming and outgoing mail services and delivery, office supplies and inventory; faxes; courier services; property and facilities maintenance; event set up/tear down; and office relocations. Candidates must be self-starters who possess the ability to work independently and as part of a team. Excellent communication skills, attention to detail, and a commitment to providing the highest quality client service are strongly preferred. Lawyers, administrative staff and legal support staff
• Complete high quality print/copy/scan projects accurately and on-time
• Ability to operate high-volume production print and finishing/bindery equipment.
• Ensures convenience copiers are working properly. Clears paper jams and coordinates with vendors when service is needed.
• In-house mail service including picking up, sorting, and delivering incoming and outgoing mail
• Assist with the coordination of purchasing office supplies, which includes vendor relations, receiving, stocking of items such as letterhead, business cards, and other items, purchasing research, and invoice processing
• Maintain log for all pickup and deliveries and notify employees and/or appropriate personnel
• Coordinate courier runs, including determination of when it is necessary to use in house or outside couriers and which service is to be used, including arranging for court filings
• Assist with setting up and breaking down large events including moving conference room furniture to accommodate event set up
• Assist with moving of office furniture and office relocations
• Assist with property and facilities maintenance
• Operate equipment such as telephones, fax machines, copy machines, computers and troubleshooting to resolve issues with same
• Perform light cleaning services as needed throughout the office
• Assist with overflow work and provide backup support for other functions as needed
• Performs all other related duties as directed by immediate supervisor which may include a variety of administrative, reception, or office services functions
• High School Diploma or equivalent
• 2-3 years administrative experience with strong communication and customer service skills
• Knowledge of production print and finishing/bindery equipment; utilization of typical office services equipment and technology strongly preferred
• Previous experience in a client service oriented field preferred
• Working knowledge of Microsoft products pertaining to the specific position including but not limited to Outlook, Word, and Excel, etc.
• Working knowledge of Adobe Acrobat
• Attention to detail and excellent organizational skills
• Flexibility in dealing with simultaneous projects- demonstrated ability to multi-task a must
• Ability to function with a high level of patience, tact, and diplomacy in handling any “complaint” situations
• Able to work under pressure and manage competing deadlines
• Able to work well with others
• Strong initiative required; ability to work independently with minimal direct supervision
• Willingness and ability to learn new skills
• This job operates in an office setting , requiring the routine use of a computer and other standard office equipment. The ability to open file cabinets, lift files, bend and stand on a stool may also be required.
• Ability to lift or move 40 lbs. or greater
• Fine and/or gross motor skills, including the ability to grasp, lift and/or carry or otherwise move packages on a standard wheeled cart with a load capacity of 100 lbs.
• Able to convey information and ideas through speech in ways that others will understand
• Able to listen to and understand information and ideas presented through spoken words and sentences
• Able to speak clearly so listeners understand, identify, and understand the speech of another person
