The Legal Project Clerk is responsible for providing documentation and staff support services to lawyers, paralegals or other timekeepers. The Legal Project Clerk is not a timekeeper. Provide administrative and project support to a 2 lawyers, 6 paralegals Immigration practice. Primary tasks include the scanning and saving of daily mail into document manager software, updating information into immigration software for new and existing matters, document assembly for both internal files and government filings, initiating requests for a high volume of filing fee checks and setting up extranet and FTP sites. Efficiency, teamwork and customer service skills are important in this professional environment. Familiarity with INSZoom software and Immigration terminology is helpful. KEY RELATIONSHIPS Lawyers, administrative staff and legal support staff. ESSENTIAL DUTIES •Sort and scan all incoming mail, fax, and documents to immigration section; save all document to repository system (iManage); data entry/update case status of all documents into immigration software system (INSZoom); distribute original mail to case managers •Document assembly for files and government filings •Request filing fee checks from Accounting and prepare same •Fill out simple forms in INSZoom •Set up extranet and FTP sites for large files; copy/scan/save government filings to iManage; other tasks as assigned •Proof-read and check received communications for accuracy •Compile department related documents •Acts as liaison between departments (office services, central records, etc.) ADDITIONAL DUTIES •Assist with special projects as directed EXPERIENCE SKILLS REQUIRED •High School Diploma or equivalent •Minimum of 1 year professional level work experience •Previous experience in a client service oriented field preferred •Excellent written/oral communication skills •Excellent organizational ability, attention to detail, analytical skills and initiative •Ability to organize, prioritize assignments and produce high volume of work quickly and accurately •Ability to work under pressure and meet deadlines •Able to meet obligations with confidentiality, integrity and sensitivity ADDITIONAL ABILITIES REQUIRED •Be personable, articulate, knowledgeable and professional in presenting oneself in a professional setting •Willingness and ability to learn new skills •Ability to function with a high level of patience, tact and diplomacy in handling any “complaint” situations •Ability to walk, bend, kneel, stand, and/or sit for an extended period of time •Manual dexterity required for operating office machinery (phone, copy machines, etc.) •Working knowledge of Microsoft products pertaining to the specific position including but not limited to Outlook, Word, and Excel, etc. •Reading, writing and arithmetic skills required •Able to listen to and understand information and ideas presented through spoken words and sentences and able to speak clearly to listeners, and understand, identify and understand the speech of another person •Strong initiative required, ability to work independently with minimal direct supervision •Due to the cyclical nature of the industry, demonstrated ability to work varying schedules to reflect the business needs of the firm, mobility within the office including movement from floor to floor, and effectively manage and communicate confidential issues ABOUT THE FIRM K&L Gates is a fully integrated global law firm with approximately 2,000 lawyers across five continents.
