Position Summary

 

The global law firm of K&L Gates LLP seeks a Manager of Client Accounting to join its Pittsburgh office. The Manager of Client Accounting actively controls the firm’s billing functions to ensure that best practices are in place for local, regional and global clients’ billing.  The manager will have a thorough understanding of the relevant applications and of the expectations of the firm’s leadership.  The Manager must be able to generate strategies to achieve goals and possess the ability to deliver detailed reports and solve complex client billing problems with a commitment to superior customer service and communication skills.

Key Relationships

Responsible for building and maintaining relationships with the Directors of Administration, Director of Pricing and Legal Project Management, Client Matter Intake team, Lawyers, Practice Assistants, and operational support teams.

Essential Duties

  • Oversee global billing functions, focusing on the timely disposition of accrued timekeeper services (work in progress or WIP/inventory)

  • Specific tasks include billing of time and cost, updating billing arrangements, entering adjustments, meeting deadlines relating to closing cycles and verifying the assignment of the lawyer to the billing staff

  • Configure the approved special billing arrangements by client in order to ensure  accurate billing parameters are implemented

  • Coordinate troubleshooting and sourcing solutions for any complex billing issues

  • Develop best practices in billing procedures and policies and maintain process guidebooks

  • Maintain schedules and prepare performance reports on the inventory, special billing arrangements and other statistics

  • Lead special project teams including new office integrations or application upgrade development and testing

  • Responsible for employee selection, training, appraisal and development

Additional Duties

  • Prepare client reports as requested

  • Send out aged WIP notices and inquires to targeted lawyers and manage the follow-up action plan

  • Interface with management and operational support teams regarding process improvements to increase the firm’s cash position and acheive financial goals through the utilization or development of new technology

  • Prepare the agenda for monthly team meetings

  • Process timekeeper master files changes as needed

  • Participate in the quarterly and annual billing rate program and implement on a critical time sensitive schedule

  • Engage with local offices, partners and practice area leaders to respond to Request for Proposals (RFPs) or Requests for Information (RFIs) and maintain a database of all responses

Experience & Skills Required

  • Bachelor’s degree in Accounting, Finance or Business

  • Prior financial management experience with a strong background in data analysis, process improvement and achieving goals

  • Prior client billing management experience within a professional services organization

  • Ability to quickly build rapport and confidence with lawyers, leaders and staff

  • Demonstrated project management and leadership skills

  • Excellent verbal and written communication skills

  • Demonstrated ability to maintain confidentiality and integrity

  • Possess superior organizational and time management skills, excellent written and oral communication skills and able to multitask in a fast-paced environment managing conflicting priorities under tight deadlines while building credibility with lawyers and team leaders

  • Extensive experience working with work flows and general understanding of business practices of law firm

Additional Abilities Required

  • Responsibilities occasionally may require an adjusted work schedule, in order to meet deadlines, especially during month, quarter and year end close

  • Limited travel (<10%) to provide training or on-site support
