Assist with maintaining the integrity of the firm’s Intellectual Property systems. Work closely with the Manager, IP Prosecution Operations to manage various projects.
KEY RELATIONSHIPS
Director of Administration, IP Training & Procedural Development Manager, and IP Docket Supervisor
ESSENTIAL DUTIES
• Assist in maintaining integrity of the docket database, including any IP docket system conversions, data downloads, and standardization of existing data
• Support intakes of IP matters, including inputting into the IP docket database, opening of matters, imaging of documents, communicating with international associates, and filing of POAs with local patent and trademark offices
• Assist with updates to the IP docket database upon lawyer departure or client/matter transfer out of the firm, including emails to international associates, tracking PTO withdrawals, updating the IP docket database, and forwarding any correspondence for transferred matters to new counsel
• Assist with client and matter conversions in the IP docket database to ensure that client/matter names and numbers in the system match other Firmwide systems
• Conduct database audits using government websites and communication to International Agents
• Generate various reports as requested for clients intakes or transfers
• Maintain current knowledge of IP rules and procedures, both domestic and international
• Complete projects as assigned by the Manager, IP Prosecution Operations
• Knowledge of domestic and international patent and/or trademark prosecution procedures
• High School Graduate or equivalent
• Experience with Word, Excel, and Outlook, as well as solid internet research capabilities
• Ability to organize, prioritize, and complete tasks with strong attention to detail and adhering to the firm’s best practices
• Strong work ethic and ability to work both independently and as part of a team
• Interpersonal and communication skills required to interact with lawyers and staff
• Ability to frequently work at fast pace with unscheduled interruptions
• Responsibilities may require an adjusted work schedule, overtime, and evening/weekend hours in order to meet deadlines
• Ability to manage and communicate confidential issues effectively
• This job operates in an office setting and is largely sedentary, requiring the routine use of a computer and other standard office equipment. The ability to open file cabinets, lift files, bend, and stand on a stool may also be required. Lifting of boxes 30 lbs
