The global law firm of K&L Gates is seeking a Billing Specialist to join the Dallas office. The Billing Specialist is responsible for assisting in the review, edit, preparation and submission of invoices in accordance with the firm and client guidelines for each assigned office. Candidates must be self-starters who possess the ability to work independently and as part of a team. Excellent communication skills and a commitment to providing the highest quality client service are strongly preferred.

ESSENTIAL DUTIES

• Process billing requests for multiple lawyers
• Weekly e-billing follow-ups
• Check client e-billing software to confirm "approved" status
• Resolve rejected invoices
• Draft e-mail communication to lawyers
• Weekly pending timesheet transfer requests from lawyers
• Manage and respond to requests for WIP, AR and LTD billing values; respond to requests for bill copies
• Updates invoices to reflect any approved changes or corrections
• Proofread edits within the accounting systems to confirm accuracy
• Prepare cover letters which accompany each invoice
• Create final invoice and supporting documentation per client’s request (hard copy, digital, and electronic)
• Audit, review, and reconcile invoices per billing guidelines
• Prepare ad hoc reports for internal and external clients allocating invoices per each client’s specific requirements
• Maintain client reports and databases based on each client’s specific requirements
• Maintain positive working relationships with internal and external clients
• Participate in department projects as assigned
• Billing related projects requested by lawyers
• Perform other duties and responsibilities as directed

EXPERIENCE & SKILLS REQUIRED

Prior experience in a billing or accounting department working with an automated accounting or billing system is required due to the volume of e-billing research in this position
• Previous experience as a billing clerk within a law firm or professional services organization
• Working knowledge of MS Office, especially MS Excel
• Ability to ensure a high level of accuracy and attention to detail on all assignments
Ability to communicate effectively and interact with diverse personalities while maintaining a professional attitude; clarity and completeness in communication is critical
• Ability to multi-task, work under pressure, handle interruptions while maintaining flexibility in work assignments
• Ability to maintain confidentiality of all firm and client related information
• Ability to anticipate needs of assigned billing attorneys
• Experience working with clients, vendors and/or customers
• May require ability to work adjusted work schedule, overtime and evenings/weekends/holidays in order to meet firm deadlines
• High School Diploma or equivalent
