We are seeking a Client e-Billing Assistant to join the Pittsburgh office. The candidate will be responsible for a variety of functions that support the firm’s electronic invoicing requests and initiatives.  These tasks include being responsible for correcting, completing, and processing electronic invoices to our clients; researching and reviewing submitted information; and handling verbal and written communication with attorneys, staff, management, and other administrative departments. Candidates must be self-starters who possess the ability to work independently and as part of a team. Excellent communication skills and a commitment to providing the highest quality client service are strongly preferred.

KEY RELATIONSHIPS
Work closely with all internal clients, including timekeepers and legal secretaries, while leveraging the knowledge, resources, and support of other Accounting/Finance groups within the firm

ESSENTIAL DUTIES
• Receive and submit monthly requests for e-bill clients’ invoices in a timely manner
• Maintain client agreements and special arrangements in the billing system and in our clients’ external e-billing vendor site.
• Specifically monitor timekeeper rates between systems over time for necessary approval of non-published rates internally and externally
• Handle rejected e-files and correct e-bills to meet client specifications
• Enter matter rates and codes in the master files (bill templates, task activities, and any matter-specific information) for e-billing matters
• Maintain shared lists of all e-billing clients and specific requirements, including restricted timekeeper tables
• Understand all client guidelines, internal protocols, and the firm’s guidelines for e-billing matters
• Liaise between billing attorney/secretarial staff and clients’ staff assigned to electronic billing
• Assist with special projects and ad-hoc requests as necessary

ADDITIONAL DUTIES
• Perform back-up tasks on the billing system on an as-needed basis
• Assist with month-end billing overflow and year-end closing and reporting as required

EXPERIENCE SKILLS REQUIRED
• Associate’s degree or relevant work experience specializing in a professional services firm billing area
• Ability to multi-task, work under pressure, and handle interruptions, while maintaining flexibility in work assignments
• Ability to communicate effectively and interact with diverse personalities while maintaining a professional attitude
• Working knowledge of MS Office, especially MS Excel
• Proficiency with e-billing applications/vendors and e-invoice specifications

ADDITIONAL ABILITIES REQUIRED
• Overtime occasionally required
• This job operates in an office setting and is largely sedentary, requiring the routine use of a computer and other standard office equipment.  The ability to open file cabinets, lift files, bend, and stand on a stool may also be required.

Compensation Salary $46,000 - $69,000 / year

The compensation salary for this position will be determined during the interview process and will vary based on multiple factors, including but not limited to prior experience, relevant expertise, current business needs, and market factors.
